1.Who we are
SmartMoveMe (“SmartMoveMe”, “we”, “us”) helps students move to the UK by arranging accommodation, airport transfers, academic support and student support through trusted partners. We are the controller of the personal information described in this policy.
You can contact us about privacy at info@smartmoveme.com.
2.Information we collect
We only collect information you choose to send us, through the enquiry form on this website or by email. This may include:
- your name and contact details, such as your phone number and email address;
- study details, such as your university, course and start date;
- travel details, such as your flight number, arrival date and destination address;
- accommodation preferences, budget and whether you have a UK guarantor;
- any documents or messages you decide to share with us.
When you send the enquiry form, the details you enter are emailed to our team and a copy is emailed to you as a confirmation. They are not saved in a database on this website.
3.How we use your information
We use your information to:
- respond to your enquiry and answer your questions;
- find suitable options and arrange the services you ask for;
- share necessary details with partners who deliver those services, with your agreement;
- follow up after a service to check it met your expectations;
- keep records we are legally required to keep.
We do not sell your information and we do not send marketing messages unless you ask us to.
4.Our lawful bases
Under UK data protection law we rely on:
- Contract — to take steps you ask for before entering into an agreement, and to deliver services you have agreed to;
- Legitimate interests — to respond to enquiries and run our business responsibly;
- Consent — for example, before adding a family member to a conversation. You can withdraw consent at any time;
- Legal obligation — to keep accounting and tax records.
5.Sharing with partners
To arrange a service we share only the details a partner needs — for example, your name, flight and address with your driver, or your study dates with an accommodation provider. We tell you which partner we are sharing with before we do so.
Partners are independent organisations responsible for the information they hold under their own privacy notices. We only work with partners who agree to handle student information responsibly.
6.Email delivery
Enquiry form submissions and confirmation emails are sent through our email delivery provider, Resend, which processes them on our behalf and may store them for a limited period to deliver them reliably. Messages are then held in our business email inbox. Please avoid sending sensitive documents unless we ask for them for a specific purpose.
7.International transfers
Because many of our students contact us from outside the UK, and some services we use operate internationally, your information may be transferred outside the UK. Where this happens we rely on appropriate safeguards recognised under UK data protection law.
8.How long we keep information
Enquiries that do not lead to a service are deleted within 12 months. Records relating to services we have arranged are kept for up to six years to meet legal and accounting requirements, then securely deleted.
9.Your rights
You have the right to access, correct or delete your information, to restrict or object to how we use it, to data portability and to withdraw consent. To use any of these rights, email info@smartmoveme.com. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to put things right first.
10.This website, cookies and storage
This website does not use cookies, analytics or advertising trackers. Fonts are served from our own website, not a third party.
The arrival checklist saves your ticked items in your browser's local storage so your progress is still there when you return. This information never leaves your device and you can clear it at any time with the checklist's reset button or your browser settings.
11.Students under 18
If you are under 18, please involve a parent or guardian in your enquiry. Some partners require a parent or guardian to agree to arrangements on your behalf.
12.Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated shown at the top.
